The following terms and conditions shall apply for Workshop &Tour bookings made through availablelightimages.com and will form the basis of your contract with Available Light Images limited.

Basis of Rates per person:

The rates are based on current tariffs and are subject to change due to unforeseen circumstances. Due to limited vehicle space and group size, we don’t accept participants bring their spouse/friends/pets/extra luggage. 
While we will do everything possible to maintain the listed prices, if it is necessary to levy a surcharge, we reserve the right to do so, and notification will be given at the time of final invoicing. Bookings are non-transferable between participants. 

Payments

1: Once deposit paid by Payl Pal ( 5% charge ) or bank transfer is receive, means you accepted our terms and conditions and your place is confirmed.
Your reservation may be cancelled if deposit has not been made within 7 days from the day we send the deposit invoice. 
2: Final payment is due no later than 60 days prior to departure and only via bank transfer. 
Your reservation may be cancelled if full payment has not been received by 60 days prior to departure, therefore your deposit payment is non-refundable.
3: For reservations made within 60 days of the departure date, full payment is required when the reservation is accepted.

 Fixed dates and Private Workshops & Tours Cancellations & Partial Refunds: 

Due to the nature of our business, Available Light Images Limited apply a strict non negotiable cancellation policy. If you wish to cancel your booking please do so in writing via email or letter as soon as possible. The date of the email or letter received will be used to determine whether a partial refund will be made, please check below the full detail of the cancellation charges.

Cancellations made after deposit payment has been paid before the full payment has been paid – No partial refund, deposit payment is non-refundable.

Cancellations made 120 or more days prior to the start date of the trip,  you forfeit your deposit. If we fill your space on time, then your deposit can go towards another workshop/tour with us within 18 months. 
Cancellations made between less than 120 days prior to the start date of the trip,  you forfeit your deposit.
  
Cancellations made after the final payment has been paid, cancellation fee and a Partial refund will be calculated based on the date of cancellation and final payment we have received. Final payment is all payment(s) we have received from you after the deposit payment, as sometimes you may have to make more than one transaction to cover the final payment.
 
Cancellations made between 45 – 60 days before the start date of the trip – cancellation fee will be non-refundabble deposit and 75% of the final payment; partial refund will be 25% of the final payment 
Cancellations made between 30 – 45 days before the start date of the trip – cancellation fee will be non-refundabble deposit and 82.5% of the final payment; partial refund will be 17.5% of the final payment 
Cancellations made less than 30 days before the start date of the trip – cancellation fee will be non-refundabble deposit and 90% of the final payment; partial refund will be 10% of the final payment

If you don’t take a partial refund, a percentage of transferable credit calculated below can be used by same participant for another tour or workshop with us within next 12 months.
 
Cancellations made between 45 – 60 days before the start date of the trip – cancellation fee will be non-refundabble deposit and 50% of the final payment; transferable credit will be 50% of the final payment 
Cancellations made between 30 – 45 days before the start date of the trip – cancellation fee will be non-refundabble deposit and 65% of the final payment; transferable credit will be 35% of the final payment 
Cancellations made less than 30 days before the start date of the trip – cancellation fee will be non-refundabble deposit and 80% of the final payment; transferable credit will be  20% of the final payment 
 
In case of no-show or delays

Please note in case of no-show, the total price of the workshop(s) will be charged. If you couldn’t make it on schedule due to flight or other delays, you will have to make your own arrangement to meet up on route.

Itinerary Changes and other detail

Drones are prohibited from all our tours and workshops, if you continue to use it after we have notified you, we have the right to ask you to leave the workshop without any refund of your workshop cost.

The itineraries and staff presented in this catalog are subject to modification and change by Available Light Images Ltd. or its designated tour operator.
 
Every reasonable effort will be made to operate programs as planned, but alterations may still occur after final itineraries are sent.

In the event of Available Light Images cancels the trip, you will receive a refund after deduction of Pay Pal or Bank charges.

We reserved the right to cancel a workshop if the number of bookings for the workshop is below 3  participants or other reasons, the participant on the trip will be notified by email.

In the event of Available Light Images cancels the workshop or tour, in which case you will receive a full refund after deduction of Pay Pal and Bank charges. We strongly recommend the purchase of independent Trip cancellation insurance. For all refunds where the original payment was made in a different currency, it has 10% currency transaction fees.
We will not be responsible for any expenses incurred by participants in preparing for the trip including Visa and Passport applications, non-refundable airline tickets, New purchased clothing and other related expenses.
 
 
 
 Eligibility

The minimum age for a participant is 16 years; a parent or guardian must accompany all individuals under the age of 18 at all times.

Exclusivity

Participants are not allowed to organize, host, promote or sell photo trips, tours or workshops to locations they visited with Available Light Images within 3 years of joining a trip. In case of violation, a penalty of £7000 is applicable.

Medical Issues

You must be in good physical and mental health. Any physical condition, diet, or treatment requiring special attention must be reported in writing when the reservation is made.
You must advise us in writing, at or prior to booking, of any physical, emotional or mental condition that may require professional attention during the trip or may require the use of special equipment. Please note our tours are not wheelchair friendly and sadly we cannot accept participants with such disabilities.
Available Light Images Ltd reserves the right to decline any trip participant whose condition, in our opinion, may affect the health, safety or enjoyment of themselves or other participants. Additionally, should a tour participant require or request medical attention during the trip, such attention will be provided by locally available health care officials and at locally available facilities. In such events, we will not be responsible for health service costs incurred nor in the quality of medical care or medical services rendered.

Smoking Policy

We do not permit smoking in the vehicles, within the proximity of any of the participants or the instructors or guides, or indoors during meals or workshop sessions. Please let us know if you are a smoker.
None of the guides or Instructors smoke.

Baggage Allowances

Participants may bring ONE suitcase ( 28 INCHES max – Longest length up to 80cm but less would be preferred) , one camera bag and a tripod.
Available Light Images Ltd reserves the right to insist on a repacking if space is not available for the excess bags.

Liability & Responsibility

By attending one of our workshops, you are voluntarily releasing Available Light Images Limited, our employees, assigns, independent contractors, or anyone involved thereof, from any damages, liabilities, costs, injuries whether mental or physical, known or unknown, and by participation you agree to accepting all risks including injury, Illness, Terrorism, Political Events, Civil Strife, Nature Disaster that beyond our control.
Available Light Images Ltd cannot be held responsible for expenses incurred or alterations caused by delays, illness, weather, war, terrorism, political events, civil strife, natural disaster, technical difficulties or any event beyond our control.

Complaints & Dispute

If you should have any complaint about our workshops or tours, it must be made within 14 days of the end of the workshop, and in the unlikely event of any sort of dispute arising, litigation shall follow the jurisdiction located in Scotland.
