The following terms and conditions shall apply for Workshop & Tour bookings made through availablelightimages.com and will form the basis of your contract with availablelightimages.com.
Basis of Rates per person
The rates are based on current tariffs and are subject to change due to unforeseen circumstances. Due to limited vehicle space and group size, we don’t accept participants bring pets/extra luggage.
While we will do everything possible to maintain the listed prices, if it is necessary to levy a surcharge such as exchange rate or accommodation price increase, we reserve the right to do so, and notification will be given.
1: Once deposit paid via PayPal (which has about 5% charge) or bank transfer is received, you accept our terms and conditions and your place is confirmed.
2: The balance is due no later than 90 days prior to departure and only via bank transfer.
Workshops & Tours Cancellations & Partial Refunds
Due to the nature of our business, if you wish to cancel your booking please do so in writing via email or letter as soon as possible. The date of the email or letter received will be used to determine whether a partial refund will be made, please check below the full detail of the cancellation charges.
Cancellations made 180 days prior to the start date of the trip, your deposit payment can be transferred to another trip or a partial refund of 50% will be returned to you within 30 days.
Cancellations made between 90 – 180 days prior to the start date of the trip, 50% of your deposit payment can be transferred to another trip, no partial refund (you forfeit your deposit to compensate for not able to find a replacement in such short notice).
Cancellations made less than 90 days prior to the start date of the trip, you forfeit your deposit/final payment to compensate for not able to find a replacement in such short notice.
Changes and Cancellations
Every effort will be made to follow the trip itinerary as planned but it may change to an alternative arrangment, and if so and you no longer wish to be part of the trip then you be entitled to a partial refund for the number of days you choose not to be on the trip and on those days you will be paying all your expenses.
In the event of availablelightimages.com cancels the trip, you will receive a refund of the trip only, after deduction of Bank charges and or PayPal charges. For all refunds where the original payment was not in sterling, it will use the amount in sterling which we received ( which can be confirmed on transaction statement).
availablelightimages.com cannot be held responsible for, and accept liability for any loss or additional expenses caused by last minute cancellation, delays or curtailment/cutting a trip short due to illness, weather, war, terrorism, political events, civil strife, strikes, natural disaster, technical difficulties or any event beyond our control.
By completing this online booking, you are agreeing to accept our terms and conditions.
You need to inform us, on the booking form, of any special arrangements regarding any care or assistance required for the trip you are booking with us. We can then assess whether it can be safely accommodated on the trip considering the basic requirements and dimension of the group.
Please note in case of no-show, the total price of the workshop(s) will be charged. If you couldn’t make it on schedule due to flight or other delays, you will have to pay for your own arrangements to meet up en route with our assistance if you require.
It’s your responsibility to check any necessary entry requirements for the country where we will conduct our tour and workshop, including Covid testing, vaccinations, passenger locator forms or visa requirements.
By signing up to our tours and workshops, you must obtain the appropriate travel insurance cover, including the loss, expenses and damages arising from, but not limited to, the cancellation of the holiday, personal accident and injury, medical and repatriation costs, loss of baggage and personal money and belongings, flight cancellations and delays, disruption cause by nature disasters, diseases and political changes.
You must be in good physical and mental health. Any physical condition, diet, or treatment requiring special attention must be reported in writing when the reservation is made.
You must advise us in writing, at or prior to booking, of any physical, emotional or mental condition that may require professional attention during the trip or may require the use of special equipment. Please note our tours are not wheelchair friendly and sadly we cannot accept participants with such disabilities.
availablelightimages.com reserves the right to decline any trip participant whose condition, in our opinion, may affect the health, safety or enjoyment of themselves or other participants. Additionally, should a tour participant require or request medical attention during the trip, such attention will be provided by locally available health care officials and at locally available facilities. In such events, we will not be responsible for health service costs incurred nor the quality of medical care or medical services rendered.
Participants drones are prohibited on all our workshops unless their use is mentioned on specific trips. However we may sometimes conduct drone photography for promotional purpose with permission of every participant. We do not permit smoking inside vehicles, within visual proximity of any of the participants or instructors or guides, or indoors at any time. Please let us know if you are a smoker.
We reserve the right to ask you to leave the workshop without any refund for any, but not limited to any of the following reasons: 1: Insulting behaviour towards trip leaders, other participants or any people we have contact with such as drivers or guides. 2: Any unlawful acts against local culture and/or authorities.
Liability & Responsibility
By attending one of our workshops, you are voluntarily releasing Juanli Sun, Availablelightimages.com, our independent contractors, or anyone involved from any liability because the risk of illness or death, loss & damage, physical injury or mental health. By participation you agree to accept all risks including injury, Illness, Terrorism, Political Events, Civil Strife, Nature Disaster that beyond our control.
availablelightimages.com does not accept liability for death, bodily injury or illness unless this arises from the negligent act and/or omission of our guide and driver whilst conducting the trip.
Participants may bring ONE suitcase (28 INCHES max – Longest length up to 80cm but less would be preferred) and one camera bag. We reserve the right to insist on repacking if space is not available for any excess bags.
The minimum age for a participant is 16 years; a parent or guardian must accompany all individuals under the age of 18 at all times. See specific trip eligibility on specific trip pages.
Participants are not allowed to organise, host, promote or sell photo trips, tours or workshops to locations they visit with us within 3 years of joining a trip. In case of violation, a penalty of GBP 7000 is applicable.
Complaints & Dispute
If you should have any complaint about our workshops or tours, it must be made within 14 days of the end of the workshop, and in the unlikely event of any sort of dispute arising, litigation shall follow with the jurisdiction located in England.
